Role Overview

We are looking for a dedicated Accounts & Admin Executive to take ownership of Thumb360’s internal financial records, client payment follow-ups, and day-to-day office administration. This role is ideal for a B.Com graduate (fresher or up to 1 year of experience) who is organised, numbers-savvy, and proactive.

You will be responsible for ensuring timely payments from clients, maintaining clean account books, supporting tax documentation, and keeping the office running smoothly. This is a full-time, in-office role with a 6-day work week.


Key Responsibilities

Account Management (Thumb360’s internal accounts)


Client Invoicing & Payment Follow-up

    • Generate and send invoices to clients as per project milestones.
    • Track due dates and proactively follow up with clients via calls, WhatsApp, and email for pending payments.
    • Maintain a payment tracker and update management on collection status.

Payment Reconciliation

    • Match incoming payments against invoices and record them in the accounting system (Excel or Tally).
    • Reconcile bank statements with company records on a weekly/monthly basis.

    • Record day-to-day expenses (petty cash, vendor bills, reimbursements).

    • Process payments to vendors and contractors after due approvals.


  • Office Administration

    • Manage office supplies (stationery, pantry, printing) and coordinate with vendors.
    • Maintain employee attendance, leave records, and assist in onboarding documentation.
    • Handle incoming/outgoing couriers, calls, and general clerical tasks.
    • Support team with filing, scanning, and organizing company documents.

Qualifications

  • • B.Com degree (completed – freshers are welcome).
  • • Basic understanding of accounting – invoicing, receivables, reconciliations.
  • • Proficiency in MS Excel (creating sheets, using basic formulas, tracking data).

Skills

  • • Good communication skills – able to follow up on payments politely but firmly.
  • • Comfortable working from office 6 days a week.
  • • Organized, detail-oriented, and trustworthy with financial data.

Good to Have

  • • Up to 1 year of experience in accounts receivable or office administration.
  • • Familiarity with Tally, Zoho Books, Odoo or any accounting software.
  • • Experience with email drafting and basic record keeping.
